Position Overview

This is a full-time on-site Executive Assistant role supporting high-level executives in Bela Corp's Karachi office. The Executive Assistant will be responsible for providing administrative support, handling expense reports, managing schedules, and ensuring effective communication between the executives and the team. 


  • Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prioritize incoming communications, including emails, phone calls, and mail, and respond or redirect as needed. 
  • Prepare and edit correspondence, presentations, reports, and other documents on behalf of executives.   
  • Serve as a liaison between executives and internal/external stakeholders, including clients, vendors, and employees.
  • Attend meetings with executives, take minutes, and follow up on action items as necessary.
  • Conduct research and compile data to support decision-making and project management.
  • Assist with the planning and coordination of company events, meetings, and conferences.
  • Manage expense reports, invoices, and other financial documentation for executives.
  • Handle confidential information with discretion and maintain confidentiality.
  • Perform ad-hoc administrative tasks and special projects as assigned by executives.       

Must Have

  • Bachelor's degree in business administration, Communications, or related field preferred.  
  • 3+ years of experience as an executive assistant or administrative support role. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.  
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.   
  • Strong communication skills, both verbal and written, with the ability to interact professionally with all levels of the organization.
  • Attention to detail and accuracy in data entry, document preparation, and correspondence.
  • Ability to work independently with minimal supervision and as part of a team.
  • Discretion and confidentiality in handling sensitive information and communication.
  • Adaptability and flexibility to changing priorities and work schedules.
  • Professional demeanor, positive attitude, and willingness to provide support wherever needed.

Nice to have

  • Experience in project management or coordination, with knowledge of project management tools and methodologies.
  • Familiarity with travel booking and expense management systems.
  • Knowledge of basic accounting principles for handling expense reports and budget tracking.
  • Ability to anticipate needs and provide proactive support, demonstrating initiative and resourcefulness.
  • Experience working in a fast-paced environment or supporting executives in a dynamic industry.
